Your personal account
Your account is your email address and your password. It goes with you into every company you have access to. The settings of the company itself are in the company settings.
Your account menu
At the bottom of the left-hand menu, click your name.
| Entry | What it opens |
|---|---|
| Your email | The account you are signed in with |
| My account (1) | Your name, your password, the language and appearance of To Bill, the mobile app’s notifications, our tips e-mails and the deletion of your account |
| Subscription | The company’s subscription and its credits for sending by post, if you have the permission to manage it. See The subscription and credits |
| Users | The people who have access to the company. See Users, roles and permissions |
| Drive | The company’s files. See File your documents in the Drive |
| Sign out | Ends your session in this browser |
Under your name, To Bill shows the state of the subscription: Active, Trial period, Cancelled or Expired. The company’s settings, for their part, open with Settings, at the bottom of the left-hand menu.
Your name and your password
Your account menu › My account. These settings apply to all your companies.
- Profile: correct your First name or your Last name, as your team sees them in To Bill and in the activity log, then click Save.
- The Email is the one you sign in with. It cannot be changed here; an administrator can correct it in Users, if you only use To Bill for their company. An address changed this way is Address not verified again: until it is confirmed, the first sign-in with Google (or Apple) at that address gives the account to the address’s owner. The password then stops working and the signed-in devices are signed out (see Confirm your email address).
- Under the email, To Bill shows whether it is confirmed (1): Address verified or Address not verified. An address not verified offers Send the confirmation email: open the email you receive and click its link (see Confirm your email address). It is optional, except to invite someone, as the line under the address reminds you: Optional, but needed to invite someone. With a confirmed address, team invitations sent to it also show up here, to accept in one click. An account created before this confirmation arrived can do it here. To Bill sends one email a minute at most, and five a day.
Change your password
- In Password, enter your Current password.
- Enter the New password, at least 8 characters and at most 72 (a few fewer with accented letters), then confirm it.
- Click Change password. Your other devices are signed out: sign in there again with the new password.
You do not know your current password, for example because you sign in with Google? Click Get a link by email: To Bill sends you a link to choose one. It is valid for one hour and works only once.
Language, appearance and notifications
Further down the My account page:
- Interface language: the language of To Bill’s menus and screens on this device, among Français, English, Deutsch, Italiano, Português, Español and Shqip. It does not change the language of your invoices and quotes, which is set in Settings › Application settings (see Your company’s details).
- Appearance: Light, Dark, or Same as device, which follows your computer’s setting.
- Mobile app notifications: what the To Bill app on your phone tells you about the company that is open. See To Bill notifications.
Tips and news e-mails
Also on My account, Tips and news e-mails: now and then, tips to make the most of To Bill, and its news.
- The Receive our tips and news switch is on: every account receives these e-mails unless you turn it off.
- To Bill presented them to you once: on the last screen when you created your company or, for an older account, in a banner under the top bar, with the same switch and a cross. The cross closes the banner for good and keeps you subscribed; turning its switch off removes you from the list. Until you have answered, one way or the other, these e-mails are not sent.
- Turn it off to stop receiving them: your address is removed from our mailing list at once. Turn it on again to receive them again. You can also stop them with the unsubscribe link in every e-mail: the switch then turns off here and in the mobile app too.
- Your account’s e-mails (a link to choose a password, an invoice paid, an invitation…) do not depend on this choice.
Several companies
If you manage several companies, switch from one to another with the switcher at the top of the left-hand menu, under the logo: it lists My Applications and offers Create New Application. See Create your account and your company.
Signing in
- You stay signed in for 30 days in a browser, unless you click Sign out.
- If your account was created with your email, you can also sign in with Continue with Google, when this button is offered and your Google account uses the same address. Your address then counts as verified, if Google says it is.
- After 10 wrong passwords in 15 minutes, signing in to your account is blocked for a quarter of an hour, even with the right password. A successful sign-in resets the account.
Delete your account
At the very bottom of My account, Delete my account deletes your personal account for good. A copy may remain in To Bill’s backups for no more than 14 days; it is then erased. The mobile app does it too, in the More tab (see Install the To Bill app and sign in).
- Click Delete my account (1).
- In the Delete your account? window, type DELETE.
- Click Delete permanently. To Bill deletes the account, then signs you out.
What happens:
- Your account and your personal data are deleted: your sign-in (the link with Google or Apple included), your signed-in devices, your preferences, your notifications, your conversations with the Copilot. If you received our tips e-mails, your address is also removed from our mailing list.
- The companies of which you are the only member are deleted with it, with all their data and all their files, as with Delete the company. If one of them keeps its books or its payroll in To Bill, first download the archive of its books: otherwise To Bill refuses and says so.
- A company you share stays, with its subscription: you leave it. Its activity log and the hours you recorded stay with the company, with no link to your account. Its books keep the name of whoever recorded each entry, and the list of accesses to the payroll is kept: the law forbids changing them.
- A subscription taken through the App Store or Google Play does not end with the account: cancel it in your phone’s settings.
To Bill refuses the deletion, changing nothing, and says what to do:
- if you are the only administrator of a shared company: first make another member an administrator (see Users, roles and permissions) or delete the company;
- if you own a fiduciary firm where no other member is an administrator: make one an administrator in the Cockpit, Team; they will become the firm’s owner when you delete your account. A firm of which you are the only member is deleted with your account.
Legal basis
- Anyone may ask for their data to be erased; data is destroyed or anonymised as soon as it is no longer needed: Art. 6 para. 4 and 32 para. 2 let. c FADP.
- The books and vouchers are kept for ten years and must not be changeable without the change showing: Art. 958f CO and Art. 3 GeBüV. Consultations of the archives are recorded, and these records are kept just as long: Art. 8 GeBüV.
