When an employee leaves
When an employee leaves the company, the Exit page takes you through five steps: the exit, the final pay, the insurance, the documents, then finishing the exit. To Bill calculates what is owed and gives the rule for each amount; you decide, and you make the notifications.
Open the exit
- Open Payroll › Employees, then the employee.
- At the top of their record, click Exit.
The Exit of … page opens. The five steps, at the top (1), are marked done or to do; clicking one takes you there. Once the exit is saved, the employee’s record shows Leaves on … and its button becomes See the exit.
1. Save the exit
- Reason: Resignation, Dismissal, End of a fixed-term contract, Mutual agreement, Retirement or Death.
- Exit date: the last day of the employment relationship, at the end of the notice period. After a death, the Date of death.
- Notice received on: the day the other party received the notice. Probation: the first month, unless agreed otherwise in writing (three months at most).
- Last day worked, only if it differs from the exit date: employee released from the obligation to work (garden leave), holidays taken at the end of the contract.
- Click Save the exit.
To Bill calculates the legal notice period (2), for example “Legal notice: 2 months to the end of a month (year of service 7, CO 335c), 30.09.2026 at the earliest.” If your date falls earlier, it warns you, without refusing: a written agreement may provide for another period. During probation, the notice period is seven days. The end of a fixed-term contract, a departure by mutual agreement or a death have no notice period.
The exit date is also the one in the employee’s record (Employment › Exit date): after that month, they have no more payslips.
The severance allowance
An employee aged at least 50 who leaves after 20 or more years of service is entitled to an allowance of at least two months’ salary. To Bill flags it on this page; decide its amount with your fiduciary.
2. Settle the final pay
The final pay is what the exit month’s payroll pays on top of the month’s salary. Each amount shows its rule.
- Holidays (1): To Bill shows the year’s entitlement, pro rata to the days of employment, the carry-over, the days taken and the balance. Choose Settle the balance (the balance is paid; this is the default), Enter the days (days to pay, or to deduct as a negative number, for example if holidays are taken during the notice period) or Nothing. The Salary of one holiday day is calculated, for example “CHF 6'200.00 × 12 ÷ (52 × 4 days) = CHF 357.69”; you can change it.
- Overtime hours to pay: in hours, paid at the hourly wage plus 25%, unless agreed otherwise in writing; Or an amount, which replaces this calculation.
- Bonus: a gratuity or variable pay due at exit.
- Deductions: an amount deducted after the net salary, for example an advance or an item not returned. Add a deduction, with its Reason and its Amount.
Click Save the final pay. Under What the exit payslip will contain (2), each line shows its amount and its rule: the holidays paid, the month’s salary pro rata up to the exit date (30 days a month, as for OASI), the 13th salary pro rata for the year. The exit month’s payroll, in draft, takes over these amounts: Open the payroll, check it, then finalise it as every month. See Run the month’s payroll.
An hourly wage with a holiday supplement already pays the holidays with each salary: there is nothing to settle.
Holidays taken in excess
If the employee has taken more days than their entitlement, To Bill does not deduct them automatically: the law does not settle this deduction, which in practice is only allowed for a reason. To make it, tick Deduct the … days taken in excess and choose the Reason for the deduction: Provided by the contract or an agreement, Holidays requested in advance by the employee, Taken knowing the end was near or Immediate termination (CO 337). A deduction from the salary is limited to its seizable part.
A retirement, a death
- Retirement: the same steps, with the reason Retirement.
- Death: the contract ends on the death, without a notice period. If the employee leaves a spouse, a registered partner, minor children or other dependants, tick it under Salary after death: To Bill adds one month of salary from the day of death, two months after five years of service, paid to the survivors without OASI or unemployment insurance contributions. Only the year’s salary certificate is still due.
3. Notices to the insurers
To Bill sends nothing: it lists what must be reported, or told to the employee, with the names of your insurers (those in Payroll › Insurance settings) and the rule. Only the tasks that concern the employee are shown. For each one, choose To do, Done or Not applicable; To Bill records the day it is done.
| Task | What it asks |
|---|---|
| Announce the exit to the pension fund | Report the exit without delay: the fund transfers the vested benefits to the new fund or to a vested benefits account. |
| Inform the employee about accident insurance | Cover lasts until the 31st day after the right to salary ends. Tell them that a convention insurance extends it up to six months, to be taken out before the cover ends. |
| Inform the employee about sickness insurance | Tell them in writing that the collective cover ends and that they can transfer to individual insurance. |
| Show the exit in the tax at source statement | For an employee taxed at source: the exit date goes in the month’s statement to the canton, without a separate notice. |
| Inform the family allowance fund | For an employee who receives allowances: their right ends with the right to salary. |
| Annual AHV salary statement | Nothing to send before: the OASI fund learns of the exit from the annual salary statement. |
4. The employee’s documents
- Salary certificate (Form 11): due at exit, without waiting for the end of the year. It can be issued as soon as the exit month’s payroll is finalised: click Issue the certificate, then Download. If some data is missing, To Bill names it, for example an OASI number. See Salary certificates.
- Employer’s certificate (unemployment insurance): SECO’s official form, filled in by To Bill. See below.
- Work certificate: see further down.
For the employer’s certificate, To Bill fills in SECO’s official form, the employer’s certificate no. 10006 (version 02.2025 in French and German, 03.2025 in Italian), as published on arbeit.swiss, with what it knows about the employee: their record, their finalised payslips, their absences and their departure. Unemployment funds no longer accept the old forms since January 2026.
- Choose the Language of the form: French, German or Italian. By default, the employee’s language; for an English-speaking employee, the language of the canton of work, since the form has no English version.
- Click Show the answers to read, question by question, what To Bill filled in and what is left To complete by hand.
- Click Download the filled form. Open the PDF, complete the remaining fields, date and sign it.
- Give it to the employee with its annexes: they attach it to their claim for unemployment benefit.
What To Bill fills in:
- The employee: surname and first name, OASI number, date of birth. The employer: name, address, UID, the contact person and their phone number.
- The employment: full or part time with the workload, fixed term or open-ended, the start and end dates, the job once the work certificate is saved, the weekly hours of the company and of the employee, the OASI compensation fund.
- The termination: who gave notice, the date it was received and the end date; the statutory notice period, to correct if the contract sets another.
- Sickness, an accident or maternity leave during the notice period, and military or civil service around it: only if they are recorded as absences. With no absence recorded, To Bill never ticks “no” for you: it asks you.
- The last day of work and the salary paid up to the last day.
- The salary: the last basic monthly salary or, for an hourly wage, the basic wage, the holiday pay and the 13th-month share in percent and francs; the last 13th-month salary and the last bonus, with their payment date.
- The absences of the last 12 months (question 21), in the form’s five lines, with a summary attached if there are more.
- The pension fund, the child and training allowances per month.
- The annex: the salaries month by month for the last 24 months, from the finalised payslips (basic salary, overtime, paid holidays, 13th month, bonus, allowances, OASI salary). A corrected month is marked with an asterisk.
What is left by hand, for example: the reason for the termination, its form (oral or written), the collective agreement, the written contract to attach, a pregnancy, a financial stake of the employee in the company, a pension, other benefits on leaving, the date and the signature. Payslips from before To Bill are attached too: To Bill names the months.
Before you download
As long as the exit month’s payroll is not finalised, the last salary and the 13th month are missing from the form: To Bill says so. Finalise the payroll, then download the form. The OASI number prints in full only with the right to manage payroll.
Write the work certificate
Under Work certificate, click Write.
Choose the Type of certificate (1): Full certificate (nature and duration, quality of work and conduct) or Certificate of employment (nature and duration only, if the employee expressly asks for it).
Fill in the Position, the Department and the Main duties, one per line. Choose the Quality of work and the Conduct. Add the Strengths, achievements, in your own words: never health, religion, private life, salary or absences.
Mention the reason for leaving: only if the employee wishes. The Language is the employee’s; change it if needed. State who signs: Signed by and Signatory's position.
Read the Preview (2) again, then click Save and Download.
The text comes from a template, filled in with your answers; the preview’s paragraphs can also be corrected by hand. Draft with AI writes a draft from these answers, only if an administrator has turned on AI for payroll in Settings › AI: read it again before saving. Otherwise, a message says so and points to that setting; the template can still be used. See AI for payroll.
5. Finish the exit
When the exit month’s payroll is finalised, click Finish the exit: the employee is archived. Before that, To Bill reminds you of what is left, for example “October 2026 payroll not finalised yet” or “5 tasks left to do”.
Cancel the exit removes the exit date: the employee stays employed. This is possible as long as the exit payroll is not finalised.
Do not delete an employee who has left: their payslips stay in your records for ten years.
Pay after the exit
An amount owed after the employee has left, a bonus decided later or forgotten hours, is paid with a correction of the exit month: OASI attaches it to the year in which the work was done. In the employee’s record, click Payment after exit: To Bill opens a correction run for that month. See Correct a finalised month.

The employer informs its employees of this: Art. 72 UVV, the Ordinance on Accident Insurance (German version).
