The AI assistant
To Bill’s AI reads your receipts, suggests how to post them, answers your questions about your data and prepares draft quotes and invoices. It proposes, you decide. It is included in your subscription: it does not use credits.
What AI does for you
| Where | The help | What it does |
|---|---|---|
| Accounting › To review | Reading uploaded receipts and receipt category | Reads the receipts and supplier invoices you drop, suggests the category and, if you allow it, posts them. See The receipts autopilot. |
| Expenses and the mobile app | Reading a receipt in an expense | Fills in the expense from the photo or the PDF of the receipt. |
| Accounting › Bank | Suggestions for bank lines | Suggests an invoice or an account for a line nothing else has recognised. |
| The top bar of every page, Copilot (⌘J / Ctrl+J) | Copilot (questions about your data) | Answers your questions about what you are allowed to see (invoices, quotes, clients, expenses, collections, hours, accounting), with its sources. See The Copilot. |
| Accounting › Health of the books | Nightly check of the books and explanation of the checks | Explains what the checks find and prepares the corrections, which you confirm. |
| The Copilot, and its button in the invoice and quote editor | Copilot: drafting quotes and invoices | Writes a draft quote or invoice from your description; you read it through in the editor. See Prepare a quote or an invoice. |
| Invoices › Import invoices | Import of PDF invoices | Reads invoices issued elsewhere to bring them in. |
| Clients and Items, Import | Client import and item import | Checks the first lines of your file and how the columns match. |
| The invoice editor, with the QR-bill | Shorten an address | When the client’s address is longer than 70 characters, suggests a short version for the QR-bill. |
| Settings › Document Templates | Layout template | Designs a template from a description of the style you want. |
| Payroll, an employee’s Exit page | Work certificates | Writes the draft of a work certificate from your answers. Only if AI for payroll is switched on: see below. |
| Your fiduciary’s cockpit | Monthly summary and receipt request | Your fiduciary sums up your month and prepares the request for missing vouchers. |
AI posts nothing and sends nothing on its own. There is one exception, which you set: the autopilot can post a receipt it is sure of. The Copilot saves at most draft quotes and invoices, never sent: read them through in the editor before sending them.
Switch AI on or off
Only an administrator of the company can change this setting.
Open Settings, then AI.
Turn AI switched on (1) on or off. The message AI switched on. or AI switched off. confirms the change.
On the same page:
- Autopilot (2): post sure receipts on its own, and from which confidence threshold. See The receipts autopilot. This part is shown when accounting is on.
- AI for payroll: off until an administrator switches it on. See below.
- Advanced settings (3): see below.
- Learn more opens the page of the To Bill website about AI: it describes the service that processes your data.
Other users see Switched on by your administrator or Switched off by your administrator.
AI for payroll
Payroll data may reveal religion (church tax) or health (sick leave): these are sensitive data. They therefore have their own switch, AI for payroll, in Settings › AI, off by default. It covers the only two uses of AI with payroll:
- the Copilot may read the totals of each payroll run: gross, net, employer cost, number of employees. See The Copilot;
- the AI may draft a work certificate from your answers (position, duties, assessment), without the name, the salary or the OASI number. See When an employee leaves.
Never a payslip, church tax or absences. Only an administrator can change this switch, and only while AI switched on is on. Above it, a line tells you where things stand: Your payroll data is never sent. while it is off, The AI may use your payroll data, for the two uses below only. once it is on.
In Payroll › Insurance settings, the AI for payroll card only shows the state of the setting, the date it was last changed and the link Change in Settings › AI. In the mobile app, More › Settings › AI also shows whether it is on; it can only be changed on a computer.
Two former settings merged into one
Until 11 October 2026, the Copilot and the work certificate each had their own switch, one in Settings › AI, the other in Payroll. They are now one. Where both were on, AI for payroll is on too. Where only one was on, it is off, and Settings › AI says so once: “The two payroll AI settings are now one, switched off for now. Switch it back on if you wish.” The cross closes this message; so does turning the switch on or off.
Turn off a specific help
In Settings › AI, click Advanced settings.
Switch off the help you do not want. The others stay on. The list has sixteen switches, one per help, for example Reading a receipt in an expense or Copilot: drafting quotes and invoices.
These switches can only be changed while AI switched on is on.
When a help is switched off
Instead of the button, To Bill shows the note This AI help is switched off for your company. (1). An administrator finds the Open Settings › AI button there; other users read An administrator can switch it on in Settings › AI. The rest of the screen works normally: you fill in the fields yourself.
If To Bill shows The AI assistant is temporarily unavailable. Please try again later., AI is switched on but not answering at the moment. Nothing has been sent.
What AI receives
Each help sends only what it needs. To Bill keeps a record of each call: the help, the date and the kind of data sent, never its content.
- Your payroll data is never sent: not the employees, the payslips, the AHV numbers or the salary payments. There is one exception, which stays off until an administrator switches it on, on this page: AI for payroll. The Copilot then receives the totals of each payroll run, with employees as codes, and the drafting of a work certificate receives your answers, without the employee’s name or salary. Church tax (which reveals a religion) and sick leave (which reveals health) are never sent: they are sensitive data within the meaning of the Data Protection Act (Art. 5 FADP).
- For accounting, the bank and the Copilot, To Bill removes IBANs, AHV numbers, email addresses, phone numbers and card numbers from the texts. A person’s name is replaced by a code, then put back in the answer you read.
- A receipt, a payment slip or an invoice in PDF is sent as it is, with what is printed on it: only AI can read a till receipt.
- An import sends the first five lines of the file, as they are; address shortening sends the client’s address.
- The Copilot reads with your permissions: it only receives what you can see on screen. For a draft, the drafting receives your description and your company’s name and town, never the client’s name.
- Your conversations with the Copilot stay with To Bill, visible to you alone; they are erased after 6 months without a new question, or when you delete them.
If AI is switched off, nothing is sent.
