Delete the company
Settings › Danger zone deletes a company from To Bill, with all its data. This is final: the company cannot be restored. A copy may remain in To Bill’s backups for no more than 14 days; it is then erased.
Before you start
- Only the company’s Administrator can delete it.
- If you only want to stop paying, cancel the subscription instead: your data stays available for consultation. See The subscription and credits.
- If you only want to remove a person’s access, see Users, roles and permissions.
What is deleted
All invoices and their history, quotes, clients, items, expenses, collections, VAT rates, reminders, the activity log, invitations, users’ access, the subscription and all the company’s files: its logo, the PDFs of its invoices, credit notes, instalments and reminders, the receipts, the Drive documents and the letters handed to the post. The subscription is cancelled immediately. Users’ personal accounts, for their part, are kept: to delete yours, see Delete your account.
Download the archive of your books
If the company keeps its books or its payroll in To Bill, the law requires you to keep the books and vouchers for ten years. To Bill therefore first asks you to download the complete archive: the Your books must be kept for 10 years box explains this, and the delete button stays greyed out until you have done so.
- Click Download the complete archive (1). It contains every financial year, the journal with its fingerprints and the vouchers (and payroll, if you keep it in To Bill).
- Keep the file somewhere safe, with a copy, for ten years.
The archive is only valid if it is less than 30 days old and no entry or salary has changed since. Otherwise, To Bill says so and asks you to download a new one. Once the archive is up to date, the box becomes Archive of your books downloaded and deletion is possible.
More about what the archive contains: Archive and retention of your books.
