The accounting home page
Situation & to-do is the home page of your books. It tells you in plain words where your accounts stand today, and lists what is waiting for action from you.
Before you start
Accounting must be on: see Turn on accounting. Then, in the menu, click Accounting: the page opens.
Experimental feature
Accounting is still in development. Check your figures with your fiduciary before you file any return.
Getting started
If you opened your books yourself, the Get started card appears at the top of the page until all its steps are done or you hide it. It lists the steps that follow the opening:
- fix the health points of your books;
- import your first bank statement;
- compare the opening balance sheet with your fiduciary’s;
- close the past financial years taken over;
- share your books with your fiduciary.
To Bill ticks off what it can check by itself. For the rest, click Done. Hide removes the card.
Read the situation
Under the title, To Bill shows the current financial year and today’s date.
Situation (1) sums up your accounts in four figures:
| Figure | What it counts |
|---|---|
| What you have in the bank | Your bank accounts and your cash, today. |
| What you are owed | Your invoices sent, not paid yet. |
| What you owe | Your suppliers, VAT and your other debts. |
| Result for the year | Your profit or loss since the start of the financial year. |
Autopilot (2) shows what To Bill has posted on its own in the last 30 days: your receipts read by AI and your bank lines reconciled by your rules. To review counts the documents waiting for your decision. See Autopilot for receipts.
Deal with what is to do
To do lists what is waiting for action. A green line means everything is in order on that point. Each line has its own button, which takes you to where the action is done.
- Documents not booked yet. Invoices, expenses or payments are missing from the journal. Click Show details and reasons: To Bill groups them by reason and says what to do. For those that were never posted, click Book everything (1).
- Bank lines to reconcile. Click Reconcile (2) to match each line of the statement with its invoice or expense. See Reconcile your bank lines.
- Points to check in your books. Click See the points: see The health of your books.
- VAT return due. The line shows the period and the deadline. Click Open VAT: see The VAT return.
Depending on your company, the list also shows the documents To review, the supplier invoices to pay, the recurring entries and depreciation waiting, the month’s payroll to import, the year-end closing and, for a company limited by shares (AG) or a limited liability company (GmbH), the profit appropriation to have decided.
The reasons a document is not posted
| Reason | What to do |
|---|---|
| Never booked | Click Book everything. |
| No financial year covers their date | Their date is before your first financial year. Click Catch up on past documents: see Moving your books from other software. |
| Their financial year is closed | Correct the document’s date, or reopen the financial year from the year-end closing. |
| Account deactivated or Account not found | The account intended is missing from your chart of accounts. Click Open the chart of accounts: see The chart of accounts. |
| Dated before your books start | Entered after your books were opened but dated before. Check that your opening balance sheet contains them. |
| Waiting for the official exchange rate | A document in a foreign currency is waiting for the Swiss Federal Tax Administration’s (FTA) rate for its date. Nothing to do: it is posted as soon as the rate is published. See Foreign currencies. |
Simple or Expert
Accounting can be displayed in two ways:
- Simple: in everyday language, without account numbers or debit and credit. This is the default display for a business owner.
- Expert: with account numbers, the debit and credit columns and the detailed reports. This is the default display for a fiduciary.
You choose at the bottom of the accounting menu, under Display (2), or in Accounting › Settings.
In Simple, the menu shows only the essentials: Situation & to-do, Bank, VAT, the Balance sheet, the Income statement and the Year-end closing. Everything else is under More (1), which unfolds with a click and counts what is waiting in it: To review, Journal, Payroll, Recurring entries, Trial balance, General ledger, Fixed assets, Notes, Profit appropriation, Health of the books, Catch-up, Chart of accounts, Exports and Settings.
A personal choice
The display is remembered for you, on this device. It changes neither your figures nor what other users see: your fiduciary can work in Expert in the same company.
The accounting menu
On the left of each page, the menu groups the screens. In the Expert display:
- Day to day: To review, Journal, Bank, VAT, Payroll and Recurring entries.
- Reports: Balance sheet, Income statement, Trial balance and General ledger. See Balance sheet and income statement.
- Year end: Year-end closing, Fixed assets, Notes, Profit appropriation, Health of the books and Catch-up.
- Setup: Chart of accounts, Exports and Settings.
In the Simple display, the same screens are arranged as described above, the essentials first and the rest under More. Each user sees only the screens their rights open to them.
A number next to a section counts what is waiting there, for example the bank lines to reconcile. On a phone, the sections open from the button at the top of the page.
Simplified books
If your financial year is kept as simplified books, the home page is Simplified books, and the menu offers no balance sheet, income statement or notes. See Simplified books.
