The fiduciary copilot
The copilot reads a mandate’s books and gives you the month’s summary: what changed, what looks wrong and the next deadlines. The figures come from the books; the AI puts them into a few sentences. In To Bill, the company also has its own copilot, which answers its questions: see The copilot and the night agent.
Before you start
- The mandate’s accounting must be active, and the company must allow you to see it.
- The summary written by the AI depends on the client company’s settings: its AI must be switched on, with the Monthly summary for your fiduciary feature. Otherwise, the copilot only shows the figures. See The AI assistant.
Write the month’s summary
Open the mandate. In the Overview, find the Fiduciary copilot card.
Choose the Month (1): the current month or one of the five before it.
Click Write the summary (2). The copilot reads the books at that moment, then writes.
The summary appears in three columns: What changed, Anomalies and Deadlines, below a sentence that sums up the month. It carries the note Written by AI from the figures below; to be checked. To recalculate it with the latest entries, click Refresh.
Below the summary, the month’s figures, as the books give them:
| Figure | What it shows |
|---|---|
| Revenue and Costs | The month’s total, compared with the previous month. |
| Result of the month | Revenue minus costs. |
| Overdue receivables | What clients owe that is past due, out of the total open receivables. |
| Anomalies | The number of checks on the books that flag a problem, and the Health …/100 score. |
| To process | The documents to post and the bank lines to handle. |
At the bottom of the card, the copilot counts the month’s transactions without a receipt. Prepare the request to the client (3) drafts the message asking for them: see Ask a client for missing receipts.
When the AI does not write
The copilot then shows AI summary unavailable for this mandate: here are the accounting figures. The figures remain correct. The reason appears above:
| Message | What it means |
|---|---|
| AI is off for this company | The company’s administrator can switch it on in To Bill, Settings › AI. |
| The AI summary is switched off in this company’s Settings › AI (To Bill) | The company has switched this feature off in its Advanced settings. |
| AI is temporarily unavailable for this company | Try again later. |
| Too many requests in a short time | Wait a few minutes before writing another summary. |
What is sent to the AI
The copilot calculates everything in the books, then sends the AI the month’s figures, the checks that flag a problem and the deadlines. It sends neither client names, nor an IBAN, nor an email address. It never sends anything to your client: the request for receipts stays a draft until you send it.
A reading aid, not an opinion
The summary sums up the books as they are. Check it before you pass it on to your client.
