Record your time
The Time page offers three ways to record your hours: the timer, the week grid and adding a single entry. Each entry belongs to a project, a person and a day. Its tabs: Week, Entries, Report and, with the Payroll module, Absences. See Your team’s absences.
Before you start
- The Time & projects module is switched on and your projects exist. See Create and track your projects.
- To record your own hours, you need the
timetracking.trackpermission, which members have by default.
The week
Open Time. The Week tab shows the timer (1) and the week grid (2): one row per project, one column per day.
At the top right of the grid: the week’s Total, the Billable share and its value. The arrows change the week; This week brings you back to today.
Use the timer
- In the timer, choose the project under Choose a project.
- Type what you are doing in What are you working on?, then click Start (or press Enter).
- The time runs. Click Stop when you have finished: the duration is saved, rounded according to the settings.
A timer stopped before one minute records nothing. To pick a task up again later, open the … menu of an entry, then Resume the timer.
Type your hours into the grid
Click a cell and type the duration, for example 1:30, 1h30, 1.5 or 90m, then press Enter. The entry is created for that project and that day.
- To correct it, type another duration in the cell. To delete it, type 0 or empty the cell.
- Add a project to the week adds a row for a project that has no hours yet this week.
- A cell that holds several entries, an invoiced entry or a running timer cannot be typed into: click it to see the day’s details below the grid.
- With the keyboard, the arrow keys move from one cell to the next.
Add an entry
Click Add time (or press N).
Choose the Project, the Date and the Duration.
Describe the work in Description: it is carried over to the invoice.
If needed, change the Person (if you manage other people’s hours), set an Hourly rate for this entry only, or untick Billable.
Click Add.
Below the grid, the week’s entries are listed day by day. The … menu of an entry lets you Edit it, Delete it (with Cancel right afterwards) or Resume the timer.
An invoiced hour can no longer be changed
Once it is on an invoice, an entry is locked (Invoiced). To change it, delete the draft invoice: its hours become to invoice again. See Invoice the time spent.
All entries
The Entries tab lists all hours, across all weeks.
- All, To invoice, Invoiced, Not billable: the hours by state.
- Search by description, project or client. Filter by Billing, Project, Date, Person, or use the Views (To invoice, This month, My entries).
- The number of entries and their total hours appear above the list.
The report
The Report tab adds up the hours of a Period (This month, Last month, This year, Last year), grouped by Project, Person, Client or Month.
The report shows the hours recorded, the billable share, their value and what is left to invoice. N entries without a rate flags hours that need a rate before they can be invoiced.
