Frequently asked questions
Short answers to the most common questions. Each answer leads to the full guide.
Account and signing in
How do I change my password?
You know your password: open your account menu, then My account. In Password, enter the Current password and the new one, then click Change password. See Change your password.
You have forgotten it: on the sign-in page, click Forgot password?, enter your email, then follow the link you receive. It is valid for one hour. See Create your account and your company.
I can no longer sign in.
Check the email address and the password: capitals count in the password, not in the address. After 10 wrong passwords in 15 minutes with the same address, signing in to that account is blocked for a quarter of an hour, even with the right password: wait until the block ends. If you signed up with Google, use Continue with Google.
How do I change To Bill’s language?
Your account menu, at the bottom left › My account › Interface language: seven languages are offered. The language of your invoices is set in Settings › Application settings. See Your personal account.
I manage several companies. Do I need several accounts?
No. One account is enough: add your companies with the switcher at the top of the left-hand menu, under the logo, Create New Application, and switch from one to another in the same place. Each company has its own subscription. See Add another company.
Your company and your documents
How do I put my logo on my invoices?
Settings › Company › Upload logo, then Save. It appears on your invoices and quotes. See Your company’s details.
Where do I enter my IBAN for the QR-bill?
In Settings › Invoice, QR Invoice part: switch on Enable QR-bill, paste your IBAN in IBAN to receive payments, then Save. There is no type to choose: To Bill recognises whether it is a QR account or an ordinary IBAN, and the line under the field says so. See The QR-bill.
Why does my invoice have no QR-bill?
The QR-bill is added to invoices in francs and in euros that are still to be paid, when it is switched on in Settings › Invoice. An invoice in euros has none if your account is a QR account and you have not entered an IBAN for invoices in euros (optional): a QR account only receives francs. The invoice editor tells you, under the client, why an invoice will go out without a QR-bill. See The QR-bill.
How do I continue the numbering of my old software?
In Settings › Numbering, enter the number that follows your last invoice in Next invoice number, then Save. See Number your clients, invoices and quotes.
Why does the numbering not restart at 1 in January?
The counter continues from one year to the next so that no number is ever used twice, even with a format that contains the year. See Number your clients, invoices and quotes.
The VAT rate I want to add is refused.
To Bill only accepts Swiss rates: 8.1%, 2.6% and 3.8% since 2024, the former rates to correct old documents, and 0%. See VAT and rates on your documents.
Invoices and payments
How do I correct an invoice that has already been sent?
A sent invoice can no longer be edited. Issue a credit note, or cancel it and create a new one. See Credit notes.
My client has not received my invoice.
Check the email on their client record, and ask them to look in their spam folder. If the address is wrong, the mobile app sends you the Email rejected notification. For your emails to go out from your own address, set up your SMTP. See Send an invoice and Send your emails from your own address.
Can my clients pay by card or by TWINT?
Yes, if you link your Stripe account in Settings › Receive Payments. They pay from their invoice’s link, and the payment is recorded by itself. TWINT is only for invoices in francs. See Get your invoices paid online.
How much does it cost to send an invoice by post?
A one-page letter costs 3.90 credits, each extra page 0.25 credits; 1 credit = CHF 1.00, and you buy 10 at least. An invoice with its QR-bill (two pages) therefore costs 4.15 credits. See The subscription and credits.
Can I claim late-payment interest?
Yes. The statutory rate is 5% a year, even if your contract provides for less; if the contract provides for a higher rate, that rate applies. Set it in Settings › Invoice › Differences and default interest; reminders can add it. See Customise your invoices and quotes and Unpaid invoices.
How do I find an invoice when I only know the amount?
Press ⌘K (Ctrl+K on Windows) and type the amount, for example 1'250.50: To Bill finds the invoices, payments and entries of this amount. See Find anything with search.
Team and access
How do I invite a colleague?
Account menu › Users › Add: enter their email, choose their role, then Send invitation. Your own email address must be confirmed: otherwise, the page says so and offers Resend the confirmation email. See Invite your team.
My colleague cannot accept the invitation.
The link in the email opens the invitation, then they must click Accept: opening the link is not enough. If they are not signed in, they click Sign in, or Create an account with exactly the invited address; they then come back to the invitation. If they are signed in with another address, the page tells them: Switch account, then sign in with the invited address. If the link has expired, send the invitation again from the Invitations list. See What the invited person receives. Did they create their account without the link? They confirm their email address: the invitation then shows in To Bill, with Accept. See An account created without the invitation’s link.
I do not see Settings, Payroll or Accounting in the menu.
Either you do not have the permission to access them (ask your administrator), or the module is not switched on. A page that opens on Restricted names the permission you are missing. See Users, roles and permissions and Switch on modules.
How can my fiduciary access my accounting?
They invite you from their To Bill cockpit: they work on your figures, without exchanging files, with only the access you give them. See The fiduciary cockpit.
Accounting and modules
How do I have To Bill keep my books?
Switch on accounting in Settings › Modules: an assistant checks your data, shows you your books, then opens them. See Turn on accounting.
Can I switch off a module?
Payroll and Time & projects can be switched off without losing anything; payroll, not while a payroll is in progress. Accounting, once the books are open, stays on. See Switch on modules.
Subscription and data
What happens at the end of the free trial?
Your data stays there, read-only: you can consult it, but no longer create documents. Subscribe to get everything back. See The subscription and credits.
How do I cancel my subscription?
Account menu › Subscription › Cancel subscription. It runs until the end of the period paid, unless you tick Cancel immediately. See The subscription and credits.
How long must I keep my invoices and my books?
Ten years from the end of the financial year, under the Code of Obligations. Before deleting a company that keeps its books in To Bill, download the complete archive of its books. See Delete the company and Archive and retention of your books.
