Send your emails from your own address
By default, To Bill sends your invoices, quotes and reminders from its own sending address, in To Bill’s name. With a custom SMTP, they go out from your address, for example invoices@your-company.ch: your client recognises you straight away, and their replies arrive in your mailbox.
Before you start
Ask your email provider (Infomaniak, Swisscom, Microsoft 365, Google Workspace…) or your IT person for:
- the address of the SMTP server, for example mail.infomaniak.com;
- the encryption: STARTTLS (port 587) or SSL/TLS (port 465);
- the username, often your full email address;
- the mailbox’s password, or an app password if your email service requires one (Google and Microsoft do when two-factor authentication is on).
Set up SMTP
Open Settings › SMTP and switch on Enable custom SMTP.
Server settings: enter the SMTP server, then choose the Encryption (1) given by your provider: STARTTLS (port 587, recommended) or SSL/TLS (port 465). The Port follows your choice; if you enter 587 or 465 in Port, the encryption adjusts too. The connection is always encrypted.
Authentication: enter the Username and the Password.
Sender information: the Sender email, the address your client will see, and the Sender name, for example your company’s name. Without a name, To Bill uses your company’s.
Click Test connection (1). To Bill sends the email “SMTP connection test - To Bill” (in your interface language) to your address, the one you are signed in with. The message Test successful confirms it.
Click Save. The message SMTP settings saved successfully confirms it.
Test before you save
You can save without a test, but To Bill reminds you under the form: if your server refuses an email, it still goes out, from To Bill’s address and not from yours. If you change a field after a successful test, run the test again.
The password is stored encrypted and is never shown again. Once it is saved, the field says Stored password: leave it empty to keep it, or enter a new one to replace it. If To Bill cannot store it securely, it tells you and changes nothing: try again later.
If the test fails
| Message | What to do |
|---|---|
| Username or password refused by the server… | Check the username and the password. For Google or Microsoft, create an app password. |
| The server does not answer… | Check the server address and the port. |
| The encryption does not match the port… | Choose STARTTLS for port 587, SSL/TLS for port 465. |
| The connection was cut… | Check the chosen encryption and the port. |
| Fill in the server, port, username… | Fill in the server, the port, the username, the password and the sender email. |
Go back to sending through To Bill
Switch off Enable custom SMTP, then click Save. Your emails go out from To Bill’s sending address again.
What if your server is down?
If sending through your server fails, To Bill sends the email through its own service, so that your client still receives it.
