The To do list and your firm’s tasks
To do brings together everything waiting for action in your mandates, most urgent first: you do not have to open each company to know how far the work has got.
What the list contains
To Bill fills it by itself, from each mandate’s books and your team’s tasks.
| Type | What appears | Where it is handled |
|---|---|---|
| VAT | VAT return … for a period that has ended and has not been filed yet, with its due date. | The period’s return, in To Bill. |
| Withholding tax | File the … withholding tax (form …), after the meeting’s decision on the profit. | The profit appropriation, in To Bill. |
| Payroll | The OASI, occupational pension (BVG), tax at source and salary certificate deadlines. | A cockpit task, to mark as done. |
| Closing | Close the … books for a financial year that has ended and is not closed yet. | The closing, in To Bill. |
| Tasks | Your team’s tasks, with their due date. | The cockpit. |
| Bank | … bank lines to reconcile, from the oldest. | The bank, in To Bill. |
| To book | … documents to book: invoices, payments or expenses missing from the journal. | The accounting home page, in To Bill. |
| Receipts | … receipts to review: the company’s expenses that the firm has not reviewed. | The expenses, in To Bill; then Mark as reviewed on the line. |
| Setup | Open the first financial year, for active accounting with no financial year. | The accounting home page, in To Bill. |
An item leaves the list once the work is done: the return is filed, the lines are reconciled, the financial year is closed, the task is finished, the receipts are marked as reviewed.
The payroll deadlines come from each mandate’s settings. See Set the payroll deadlines.
Sort and filter the list
- The search and filter bar: search for a title, a mandate or a type. Filter by Type, Due date, Mandate and Owner. Views offers Overdue, This week and Assigned to me. Sort by orders by due date, type or mandate.
- Open: the last column opens the item.
The Owner and Admin members switch from My mandates to Whole firm. A Collaborator or a Viewer sees their own mandates.
Handle an item
- Click the Open in To Bill button at the end of the line, or double-click the line.
- To Bill opens in a new tab, on the screen where the work is done: the period’s VAT return, the closing, the bank, the list of documents to post. Confirm with Continue to …: see Open the company in To Bill.
- Do the work in To Bill. The item leaves the list once it is settled.
A task or a payroll deadline opens in the cockpit (Open task). To mark it as done, tick its box, then click Mark done, or click the tick that appears when you hover over the line. A mistake? Click Undo in the message that appears.
On a … receipts to review line, once the documents have been checked, click Mark as reviewed: the message says how many receipts are marked as reviewed, and Undo puts them back to review. Only the receipts shown count: a document the client adds in the meantime stays to review. A firm Viewer does not see this button.

Read-only
A firm Viewer sees the list and opens the items, but does not mark anything as done: Read-only — your role lets you view.
A mandate’s tasks
Each mandate has its task board: open the mandate, then Tasks. The To do, In progress and Done columns show progress; drag a card from one column to another.
- Click Add a card below a column, or type n, then enter the title.
- Open the card to add a Description, choose who is the Assignee and set the Due date.
- In the card, write a comment under Comments and attach files under Attachments: PDF, images or Excel, 10 MB at most.
From the overview, the … menu of a mandate card also offers Create task.
Start a process
A process creates in one go the dated tasks of a job that comes back every year or every quarter.
Open the mandate. On the Accounting card, click Start a process. For several mandates, tick them in the overview table, then click Start a process.
Choose the process. To Bill shows each step and its date.
Under Assign to, choose the person, or keep The mandate’s person in charge (if only one).
Click Create … tasks. A step that already exists is marked already there and is not created again.
| Process | Steps |
|---|---|
| Year-end closing | From the bank reconciliation to the approval of the accounts: 7 steps, the last one six months after the end of the financial year. |
| VAT return | From collecting the documents to filing and paying: 6 steps, the last one 60 days after the end of the period. |
| Mandate onboarding | The first weeks of a new mandate: 6 steps, once per mandate. |
A date that falls on a Saturday, a Sunday or a public holiday moves to the next working day.
