The client portal
Each client has their own portal: an online page, without a password, where they find all the documents you have sent them. There, they download their invoices, accept or reject your quotes and, if you have turned it on, pay by card or TWINT.
How your client gets there
There is nothing to set up for the portal. Every invoice, quote or reminder email contains an Access your client portal link. This link opens all the documents your company has issued for this client, not only the one in the email.
To see the portal as your client sees it, click Open the client portal: in an invoice’s … menu, on the client card of an invoice or a quote, or at the top of the client’s record. The portal opens in a new tab; its address is the link to pass on if your client has lost the email.
A personal link
The link cannot be guessed, but anyone who has it can see this client’s documents. Only pass it on to your client. Drafts never appear there.
What your client sees
- At the top, your company’s name, the number of pending invoices and the total amount owed. Your client can change the language.
- The Invoices, Quotes and, if there are any, Credit notes tabs.
- For each document: its number, its date, its amount, what remains to be paid and its status.
By clicking a document, they open its PDF, as you issued it; a quote you edited after sending it shows in its latest version. The PDF opens in the page, fitted to the width, on a computer as on a phone; above it, the page count, the zoom and the download icon (Download the PDF), which saves it. An open invoice contains a QR-bill for the amount still owed.
Accept or reject a quote online
On a sent quote, your client clicks Accept (1) or Reject (2). If they reject it, they can give a reason, of 1000 characters at most. You receive an email and a notification, and the quote’s status changes in To Bill. The reason for the rejection is in the email and on the quote’s page, under Reason for refusal. Once the quote is accepted, all you have left to do is convert it into an invoice: see Quotes.
The quote is valid until the end of the Valid until day, Swiss time. From the next day, your client can no longer accept it: Accept disappears, and the portal shows for example “This quote expired on 30 Sep 2026. Contact Atelier Léman SA to have it extended.” (1), with your company’s email address and phone number, those in Settings › Company. Reject (2) is still possible. To extend the offer, change the quote’s Valid until date: see Quotes.
Online payment
If you have linked your Stripe account (Settings › Receive Payments, Link my Stripe account) and Stripe accepts its payments, a Pay button appears on every invoice that still has to be paid. Your client pays by card or by TWINT (in Swiss francs, up to CHF 5’000). The amount is what is still owed. The payment is recorded on the invoice without any action from you.
Without a Stripe account, or as long as Stripe has not accepted your account (setup to finish, verification in progress), the portal shows no Pay button: your client pays by bank transfer with the QR-bill. Settings › Receive Payments says what is missing: see Online payments.
On a phone
The portal adapts to your client’s phone.
You know when the invoice is viewed
When your client opens an invoice in their portal, To Bill marks it as viewed and sends you a notification.
