Your firm’s team
Each person in the firm has their own account and a role. The role decides what they see and what they can do in the cockpit.
Roles
| Role | Mandates it sees | What it can do |
|---|---|---|
| Owner | All the firm’s mandates. | Everything: the team, invitations, mandates, and appointing other owners. |
| Admin | All the firm’s mandates. | The team, invitations, adding and assigning mandates, and the work on each mandate. |
| Collaborator | The mandates assigned to them. | The work on their mandates: tasks, comments, attachments, processes, payroll settings, exports. |
| Viewer | The mandates assigned to them. | Viewing and exporting, without changing anything. |
In the client companies, a person’s rights also depend on their role in the firm: a Viewer only receives viewing rights. See Rights on a mandate.
The Team page
In the menu, click Team. The page shows the number of Members, the number of the firm’s mandates (Mandates, each counted once) and the Pending invitations. Next to each person, the number of mandates they look after.
- Invite a member: see below.
- The role of each person: change it in the list. The message … now has the role “…”. confirms the change.
- Remove from the firm: see further down.
Search for a person by name or email, and filter by Role or by Assigned mandates.
The firm’s founder can neither be removed nor given another role, and nobody can change their own role. Only an Owner can appoint another owner. A Collaborator or a Viewer sees the list but cannot change it: The team and invitations are managed by the firm's owners and admins.
Invite a member
In Team, click Invite a member.
Enter their Email and choose their Role. Below the choice, To Bill reminds you what this role allows.
Click Send invitation. The person receives an email to join the firm. The invitation is valid for 7 days.
A confirmed email address first
To invite, your own email address must be confirmed. Otherwise, the window says so first of all: “To invite someone, first confirm your email address (…) with the link in the confirmation email.”, and Send invitation stays greyed out. Click Resend the confirmation email, open the email you receive and click its link, then come back to invite. The same goes for Resend on an invitation and for inviting a client (see Add and track your mandates).
Under Pending invitations, each invitation shows Expires in …d or Expired on ….
- Resend sends the email again: the invitation is valid for another 7 days.
- Copy link copies the invitation link: pass it on another way if the email does not arrive.
- Revoke deactivates the link, after confirmation.
Join a firm
You have received an invitation from a firm:
- Open the link in the email. The Join the firm page opens.
- If you are not signed in, click Sign in, or Create an account if you do not have a To Bill account yet. Use the email address that received the invitation. An account created here also receives the “Confirm your email address” email; confirming is optional, except to invite someone in turn (see Confirm your email address).
- Click Accept invitation. Invitation accepted! Welcome to the firm. appears.
Your To Bill account becomes a fiduciary account
If you already use To Bill for your own companies, To Bill tells you before you accept: joining a firm turns your account into a fiduciary account. It opens the cockpit, and the companies that invite you into To Bill afterwards will appear in the firm’s cockpit. Your companies and their data stay as they are. Click Confirm and join the firm to continue.
Choose who looks after a mandate
Open the mandate, then the Access tab: it lists the mandate’s Assignees and their role.
- Assign: tick the people in the firm who look after the mandate, then click Save.
- Remove access: the person is no longer an assignee of the mandate and immediately loses the access the firm had opened for them in this company. Their other mandates do not change.
If you remove the last person, the mandate stays with the firm, Unassigned. If you remove yourself, you no longer have access to the mandate and go back to the overview.
Remove someone from the firm
- In Team, click the Remove from the firm icon, to the right of the person.
- Read what will happen, then click Remove from the firm.
In practice:
- the mandates assigned to them are taken off them;
- their tasks stay, with no one assigned: you can reassign them;
- the access the firm had opened for them at your clients is revoked immediately;
- if a client gave them another role in their company themselves, that role does not change;
- you can invite them again later.
- in the cockpit, they then see You don’t have a firm yet: they can create their own firm there, or wait for your new invitation (see You don’t have a firm yet).
