The fiduciary cockpit
The cockpit is the fiduciaries’ space in To Bill. There you follow your clients’ companies, your mandates, and everything that is waiting for your firm to act.
It opens at cockpit.tobill.ch, with your To Bill account.
Create your firm’s account
- Open cockpit.tobill.ch, then click No account? Create a fiduciary account.
- Enter your First name, your Last name, your Email, the Firm name and a Password of at least 8 characters and at most 72 (a few fewer with accented letters).
- Click Create account. The cockpit opens: you are the firm’s Owner. To Bill also sends you the “Confirm your email address” email, in the language of the page. Confirming is optional: the cockpit works without waiting for it. You only need it to invite someone, a member or a client (see Your firm’s team). Its link opens To Bill’s Email address confirmed page; then come back to the cockpit (see Confirm your email address).
Then add your first mandates (see Add and track your mandates) and invite your colleagues (see Your firm’s team).
Have you received an invitation from a firm?
Do not create a firm: open the link you received by email. It makes you join the firm that invited you. See Join a firm.
The cockpit is reserved for fiduciary accounts. An ordinary company account sees the message Restricted access.
You don’t have a firm yet
The cockpit shows a firm’s work: its mandates, its team and its tasks. An account that enters it without belonging to a firm sees You don’t have a firm yet on every page. This happens to:
- a fiduciary account removed from its firm (see Remove someone from the firm);
- a To Bill support account (super admin). The cockpit lets it in, but it only shows the firm of the signed-in account; the Support account box says so. To see a firm’s cockpit, sign in with the account of one of its members.
Did a firm invite you? Open the link in the invitation email. Otherwise, create your firm from this page:
- Under Create your firm, enter the Firm name.
- Click Create the firm. You are its Owner, and the page shows your firm. Then add your mandates and invite your team; to invite someone, your email address must be confirmed.
If your account is not a fiduciary account yet, a box says so: creating the firm turns it into a fiduciary account, and the companies that invite you to To Bill from now on will appear in your firm’s cockpit. Your companies and their data stay as they are. The button is then called Confirm and create the firm.
- Sign in: with the email and password of your To Bill account.
- Sign in with Google: in Google’s window, choose the Google account that has your To Bill account’s address. The cockpit opens, with no password. Your address counts as confirmed when Google says it is verified.
Sign in with Google creates neither an account nor a firm. With no To Bill account at your Google account’s address, the cockpit shows “There is no To Bill account at this Google account’s address”: first create your firm’s account with that address (see above), then sign in with Google. With Google as with a password, an ordinary company account sees the message Restricted access.
Have you received an invitation from a firm? On the invitation’s page, click Sign in, then Sign in with Google, with the Google account of the invited address: you come back to the invitation to accept it. If you have no To Bill account yet, yours is created then.
If signing in with Google fails
- “Google did not confirm the sign-in”: try again, or sign in with your email and password.
- “This Google account is linked to a To Bill account whose email address has changed since”: sign in with your email and password.
- “Too many attempts in a short time”: try again in a few minutes.
If someone had opened an account at your address with a password, by creating a firm for instance, without ever confirming the address, your first sign-in with Google gives that account back to you, and that password stops working. The cockpit tells you once, in the This account is now yours window; Got it closes it. See Confirm your email address.
The overview
The Overview lists your mandates. At the top, the counters sum up the firm: mandates, items to do, VAT due within 30 days, late closings and documents to book.
- Add mandate: invite your client by email, or create the company yourself if you keep its books without them.
- One card per mandate: the tasks, the open receivables, the financial year’s figures compared with last year, and alerts such as a late closing.
Above the cards, search for a mandate by name and filter them: Books, Health, VAT, Owner, and other criteria under More filters. Views offers ready-made lists, such as VAT within 30 days or Closing late. The button on the right switches from cards to a table. See Add and track your mandates.
Switch from My mandates to Whole firm to see your colleagues’ mandates as well. The menu on the left leads to To do and Team.
A card without figures
- Not assigned to you: the mandate belongs to the firm, but you are not in charge of it. An Owner or an Admin of the firm assigns it to you in the mandate’s Access tab; you then see its figures.
- Figures not available to you: the company has not opened its figures to you, because the role it gave you is limited. Ask it for the missing right.
See Rights on a mandate.
What is to do
To do brings together, most urgent first: closings, VAT returns, salaries, documents to book, receipts to review and your team’s tasks.
Filter by type, due date, mandate or assignee. With the keyboard, j and k move from one line to the next, and Enter opens the item. The details are in The To do list.
A mandate’s page
Click a card to open the mandate. The Overview tab shows the financial year’s figures, the state of the books and the Fiduciary copilot, which drafts the month’s summary and the request for missing documents.
- Export the accounting: the entries of a period, in your fiduciary software’s format. See Export the books and the VAT file.
- Open in To Bill: the company opens in a new tab, signed in under your name. There you work in the journal, VAT and closing. See Working in a mandate’s books.
The Tasks and Access tabs list the mandate’s tasks and the people in your firm who look after it.
Turn on a client’s accounting
If the company’s accounting is not active yet, the mandate’s overview offers Switch on the accounting. See Turn on a client’s accounting.
Find a screen quickly
Quick search, in the menu, or ⌘ K (Ctrl K on Windows) opens a list: type the name of a mandate or a page, then press Enter. On a mandate’s page, the same list offers Open in To Bill.
The ? button at the top right opens the help for the page shown: Guided tour of this page, Read the guide and Keyboard shortcuts.
Your firm’s team
Team lists the firm’s members, their role and their mandates. Each person sees and does what their role allows.
| Role | What it allows |
|---|---|
| Owner | Everything, including the team and invitations. |
| Admin | The team, invitations and assigning all mandates. |
| Collaborator | Working on the mandates assigned to them. |
| Viewer | Viewing the mandates assigned to them, without changing anything. |
The details are in Your firm’s team.
