Install the To Bill app and sign in
The To Bill app goes with you to the building site or to a meeting: you create a quote or an invoice, send it, and photograph your receipts. It uses the same account and the same data as To Bill on your computer.
Install the app
- On an iPhone or iPad, open the App Store. On Android, open Google Play.
- Search for To Bill, then install the app.
- Open it.
The app is shown in portrait mode. It follows your phone’s light or dark theme.
Sign in
The Sign in to your account screen offers:
- your Email and your Password, then Sign in;
- Continue with Google;
- Continue with Apple, on iPhone and iPad.
Use the same method as on your computer. Forgotten your password? Tap Forgot password?: you receive an email to choose a new one, on the To Bill website.
If your first sign-in with Google or Apple takes over an account that someone had opened at your address with a password, without ever confirming it, the app tells you once: This account is now yours. That password no longer works. See Confirm your email address.
The app keeps you signed in. To sign out, open the More tab, then tap Sign out.
Create your account in the app
- Under the Sign in button, tap Sign up.
- Enter your first name, your last name, your email and your password, accept the terms and conditions and the privacy policy, then create the account.
- Create your company: enter the Company name, then tap Create. On the same screen, the app lets you know that To Bill will email you tips and its news now and then: the Receive our tips and news switch is on; turn it off if you do not want them. You will find it again in More › Settings › Notifications.
- Complete the setup in five steps: Company information, Company logo (optional) (a PNG or JPG image of 5 MB at most), Default currency, QR-bill, Tax Information. Tap Complete Setup.
- Choose your plan: monthly or yearly, then Start free trial. The trial lasts 7 days; the subscription goes through the App Store or Google Play.
Confirm your email address
After you sign up, To Bill sends you the “Confirm your email address” email. It is optional: the app works straight away. You only need the confirmation to invite someone; until then, Invite user says so and offers Resend the confirmation email. As long as the address is not confirmed, a reminder offers Resend the email; the cross hides it for good. In the More tab, under your account, the app shows Email address verified or Email address not verified, with Send the confirmation email. Is a team invitation waiting for your address? Once the address is confirmed, it shows when you create your company, with Accept. See Confirm your email address.
Start on your computer
You can also create your account at app.tobill.ch: the 7-day free trial starts there without a card. Then sign in to the app with the same account. A company that already has a subscription, taken out on the computer or in the app, has nothing more to pay in the app.
The QR-bill’s IBAN
At the QR-bill step, switch on Enable QR-bill, then paste or type the IBAN of your company’s account in IBAN to receive payments, with or without spaces. As on the computer, there is no type to choose: To Bill recognises whether it is a QR account or an ordinary IBAN, and the line under the field says so, for example “QR account detected: your invoices will carry a QR reference, and payments will be recognised automatically.” The IBAN must be that of an account in Switzerland or Liechtenstein: it starts with CH or LI and has 21 characters. See The QR-bill.
Find your way around
At the bottom of the screen, five tabs:
| Tab | What you find there |
|---|---|
| Dashboard | What has been invoiced, paid, is pending and overdue, over the month, the quarter or the year. An amount in a currency with no exchange rate is not counted there: it is shown separately, for example “+ EUR 1'200.00 not converted”. The bell opens your notifications. |
| Quotes | Your quotes, to create, send and convert into invoices. |
| Invoices | Your invoices, to create, send, remind and mark as paid. |
| Clients | Your clients and their contacts. |
| More | The other modules: Expenses, Credit Notes, items, Recurring Invoices, Collections, Accounting (read only), Users, Drive, Credits, Billing and Settings. |
Each user only sees the tabs, modules and buttons their rights allow: an action To Bill would refuse is not offered. Rights are set per user, in More › Users.
Switch from one company to another
On the Dashboard, tap the company’s name at the top. Choose the company in Switch Company. To create another one, tap Create a New Company: it goes through its own setup and its own subscription.
The language
The app is shown in your phone’s language, among French, German, Italian, English, Spanish, Portuguese and Albanian. For another language, change it for To Bill in the phone’s settings (on iPhone: Settings › To Bill › Language).
The Content language, the one of your invoices, quotes and emails to your clients, is chosen in More › Settings › Language: French, German, Italian or English.
Your subscription in the app
In More › Billing, the app shows your plan and its status: Active, Trial period, Cancelled or Expired.
- Subscription taken out in the app: manage or cancel it in the App Store or Google Play. After changing phones, tap Restore purchases. The app then says Your subscription has been restored. or No current subscription was found in these purchases.
- Subscription taken out on the computer: Manage subscription opens To Bill’s billing page. See The subscription and credits.
Without an active subscription, the app shows Choose your plan and you cannot use it. Only a user with the right to manage the subscription can take it out; the others see Only an administrator of the company can subscribe.
What is done on the computer
The app covers day-to-day invoicing and expenses. On the computer, at app.tobill.ch, you also do:
- the entries, VAT and year-end closing of your accounting (the app shows it read only);
- sending invoices by post (in the app, More › Credits shows your balance and the price: 1 credit = CHF 1.00, a one-page letter costs 3.90 credits, each extra page 0.25 credits);
- importing invoices, bank statements and receipts in To review;
- the AI settings.
Delete your account
In the More tab, tap Delete my account, then follow the instructions. Your account and your personal data are deleted, with the companies of which you are the only member and all their files; a company you share stays, without you. This cannot be undone. A copy may remain in To Bill’s backups for no more than 14 days; it is then erased. If you are the only administrator of a shared company, To Bill refuses: first make someone else an administrator. The details, and the same deletion from the web version: Delete your account.
If you have a subscription through the App Store or Google Play, cancel it in the store first: deleting the account does not stop it.
