Invoice from your phone
In the app, you create an invoice with a QR-bill in a few minutes, send it to your client and follow its payment. Invoices, quotes and clients are the same as on the computer.
Before you start
- The client must exist: the app does not create a client from an invoice. Add them first in the Clients tab, with the + button.
- For the QR-bill, open More › Settings › QR-bill, switch on Enable QR-bill and paste the IBAN that receives your payments in IBAN to receive payments: To Bill recognises the account by itself. With a QR account, add an IBAN for invoices in euros (optional) if you invoice in euros. Tap Save. See The QR-bill.
Add a client
- Open the Clients tab, then tap +.
- Choose the Type: Company or Individual.
- Enter the Name, the Email, the Phone and the address: Street and number, Postcode, City. The Payment terms (days) are optional: if empty, the default term applies.
- Add Contacts if needed, then save.
Create an invoice
- Open the Invoices tab, then tap the red + button.
- Client: tap the field, search for the client and choose them. If the QR-bill cannot be printed for this client, in this currency, the app says so at once: This invoice will go out without a QR-bill (for example an invoice in euros on a QR account, or a company without a postcode), with Complete the company’s address or Open the QR-bill settings; “Payable by” will stay blank on the QR-bill when the client’s postcode or town is missing, with Complete the client’s record.
- Basic Information: the Reference is suggested automatically. Add an Invoice title and check the Currency. Under Important Document Dates, the Invoice Date and the Due Date are entered in the YYYY-MM-DD format, for example 2026-10-31; the due date follows the client’s payment term.
- Items: tap Add article. Choose a saved item, or enter the Name, the Price, the Quantity and the Unit. Under More options, add a Description or change the Tax rate. Tick Save to items to reuse it. Tap Add Item. An item in a currency other than the invoice’s is converted at the day’s rate; without an exchange rate, its line shows the amount in its own currency and not converted, and does not count in the total, as on the computer.
- If your company is registered for VAT, choose the mode: Global VAT, a single rate for the whole invoice, or VAT per item.
- If needed, add a discount under Adjustments, a note under Notes, and, under Payment, choose One-time payment or Instalment payment.
- Tap the eye icon at the top to see the PDF. Then tap Create Invoice.
The invoice is saved with the Pending status: it has not been sent yet, and you can still edit or delete it.
The Copilot assistant
The sparkle button at the top of the screen opens the Copilot assistant: describe the work, and it fills in the items, the notes and the terms. Read it through before creating the invoice. It does not create clients in the app. See The AI assistant.
Send the invoice
- In the Invoices list, tap the invoice, then Send invoice.
- Check the Recipient, filled in with the client’s email. If needed, add an address in CC (optional), and the Email subject.
- To write your own text, switch on Plain text message. Otherwise, To Bill sends its usual email with the invoice details.
- Tap Send. The message Invoice sent confirms it. The status changes to Sent.
The email always contains a link to the client portal, where your client views and downloads the invoice. See The client portal.
Sending by post is done from the computer. See Send an invoice.
Follow the payment
On the invoice’s page, the main button follows the invoice’s state. The app shows only the actions your rights allow: without the right to send invoices, for example, the button becomes Download PDF.
| Status | Button | What it does |
|---|---|---|
| Pending | Send invoice | Opens sending by email. |
| Sent | Mark as Paid | Records the full payment, after confirmation. |
| Overdue | Send a reminder | Says which reminder goes out and its fee, for example “Formal reminder — reminder fee CHF 20.00”. Choose the client’s address or one of its contacts, then tap Send reminder. |
Send a reminder only appears once the due date has passed and something is left to pay, as on the computer.
The page also shows the Amount Paid and the Amount Remaining. For a partial payment, open More › Collections, tap +, choose the invoice, then enter the Amount and the Date. For an instalment, the app offers what is left to pay on that instalment. A payment in a currency other than the invoice’s is converted at the official rate of its day; if there is none, the app says so and asks for the Rate applied (1 EUR = ? CHF), then tap Save again. See A payment in another currency.
The invoice’s Reminders section lists each reminder sent, with its date, its fee and the fee’s state: To pay, Paid or Superseded (a later reminder replaces the fee of the one before: fees do not add up). Tap the download icon for the reminder’s PDF. You also see the planned Next reminder, the Fees and interest still owed, and the Default interest To Bill computes: 5% a year from the client’s default, unless another rate was agreed (art. 104 CO). Claiming that interest is done on the computer.
Reminders and their fees are set in More › Settings › Payment reminders. See Reminders.
Correct a sent invoice
A sent invoice can no longer be edited: the app shows “This invoice was sent: it can no longer be modified.” There are two solutions, in the invoice’s Actions list:
- Create credit note: By amount or By lines, with the Date and the Reason. On the credit note’s page, Download PDF saves or shares it, and a link leads to the credited invoice. See Credit notes.
- Cancel invoice: it stays in your list with the Cancelled status, and its number stays reserved. If it was paid, a credit note is issued for the amount paid.
A draft, on the other hand, is really deleted with Delete.
Quotes
In the Quotes tab, the + button creates a quote the same way as an invoice. Under Basic information, Valid until is the last day your offer is binding: 30 days after the quote’s date, to change as needed, never before the quote’s date. Tap Create Quote. On the quote’s page:
- Send the quote sends it by email;
- Mark as accepted or Mark as rejected records the client’s answer;
- Convert to invoice creates the invoice from the quote. If it has not been accepted, the app first asks This quote has not been accepted. Turn it into an invoice anyway?;
- Delete erases a quote that was never sent; any other quote is cancelled with Cancel quote: it stays in the list with its number, with the Cancelled status.
A quote your client rejected in the client portal shows the Reason for refusal they gave.
See Quotes.
Recurring invoices
To invoice the same amount every month, switch on Recurring Invoice in Basic Information when you create the invoice. Choose the frequency and the end: Unlimited, Number of invoices or End date. You find them in More › Recurring Invoices, where you pause or reactivate them. See Recurring invoices.
Legal basis
An invoice from a company registered for VAT shows, among other things, its VAT number, the client, the date or period of the supply, the type of supply, the amount, and the VAT rate and amount: Art. 26 para. 2 VAT Act.
